List of Duties for your Practice Manager

Hosptial Administrator Job Duties

FINANCIAL

  • Maintain financial records for clinics

  • Compute payroll; communicate w/ payroll service

  • Reconcile daysheets and income reports

  • Make bank deposits

  • Maintain accounts payable; verify accuracy of statements; pay bills

  • Maintain accounts receivable; verify returned checks; coordinate collections

  • Compile month end computer printouts of the Sub-S

  • Corporation and LLC for
    accountant and Board of Directors (Board)

REGULATORY

  • Maintain compliance with all OSHA, EPA, and labor laws

  • Compile information needed for government compliance reports (ie: Income Tax Returns, Property Tax Return, Gross Receipts Tax Return)

PROCUREMENT

  • Order and distribute drugs and supplies

  • Purchase equipment at direction of Board

COMMUNICATIONS

  • Schedule monthly and special Board meetings

  • Oversee/Run monthly and special Board meetings

  • Prepare agenda for monthly and special Board meetings

  • Schedule and run staff meetings; coordinate agenda with Chief of Staff (COS)

  • Organize seminars for tech staff, local DVM’s, and staff of local DVM’s

  • Write newsletters with input from COS

PERSONNEL

  • Recruit/Advertise for potential employees

  • Interview potential employees; coordinate w/COS

  • Maintain employee manuals

  • Maintain all employee records

  • Handle personnel complaints and grievances

  • Train para-professional staff in client relations

  • Prepare staff schedules with input from COS

  • Motivate staff

  • Implement employee benefit programs

MAINTENANCE AND REPAIR

  • Review equipment and building maintenance

  • Schedule repairs and maintenance

PUBLIC RELATIONS

  • Handle client complaints

  • Handle referring DVM’s complaints

  • Interact with all referring DVM’s and staff

  • Maintain contact list of referring veterinarians

FEE SCHEDULE

  • Generate and help monitor compliance; coordinate w/Board and COS

PLANNING

  • Prepare & Implement Business Plan

  • Prepare & Implement Marketing Plan

  • Prepare & Implement Continuing Education Plan

  • Prepare & Implement Job Descriptions for Employee Manual
